1. Who we are
RapidInspectionAI Keystone Lite (“the Service”) is operated by DecisionFlowAI B.V. (“we”, “us”). This policy explains what personal data we collect through the Service, why, and how you can control it.
Registered with the Dutch Chamber of Commerce (KvK) under number 89703693. VAT number: NL865069761B01.
2. What we collect
- Account data: name, email address, phone number, and organization name, collected when you register and request access.
- Request and billing data: the billing address, company name and VAT number you give us, a short description of how you will use the Service, your subscription plan and billing status, and your invoices. We do not receive or store your card number. That is handled entirely by Stripe.
- Inspection content: the photos, project details, and notes you upload, and the AI-generated detections and reports produced from them.
- Usage data: sign-in activity and an audit trail of changes made in your organization’s account, used for security and support.
3. How we use it
- To provide the Service — storing your projects, running AI defect detection, and generating reports;
- To process payments and manage your subscription;
- To authenticate your account and enforce access control between organizations;
- To respond to support requests and send service-related notices (billing receipts, usage-limit alerts, security notices);
- To maintain the audit trail used to investigate account issues if you ask us to;
- To develop, train, and improve our AI models and the Service more broadly, using the inspection photos, project data, and other content you upload.
We do not sell personal data to third parties.
4. Who we share it with
We share data only with trusted third-party service providers who help us operate the Service, for purposes such as account sign-in, payment and billing processing, email delivery, cloud storage, and AI-based image analysis. Each provider receives only the data it needs to perform its function, is bound by contract to protect it, and may not use it for its own purposes. When you pay, your payment details go directly to our payment processor; we never see or store your card details.
We don’t share your data with anyone else except where required by law, to enforce our Terms of Service, or with your consent.
5. International data transfers
We serve customers worldwide, and the Service is operated from the Netherlands using processors that run infrastructure in multiple countries. Using the Service means your data, and any data you upload about others, may be transferred to, stored, and processed outside the country where you or they are located, including countries that may not offer the same level of data protection as your own. Where a transfer is made out of the European Economic Area, we rely on the safeguards our processors provide, such as Standard Contractual Clauses.
By using the Service, you consent to these transfers. You are responsible for making sure you have the right to upload the data you submit, including any personal data about third parties captured in inspection photos, and for ensuring your use of the Service complies with the data protection laws that apply to you. To the maximum extent permitted by law, we are not liable for claims arising from the international transfer, storage, or processing of data that providing the Service necessarily involves.
6. Data retention
We keep your account and inspection data for as long as your subscription is active. If you cancel, we retain it for 6 months to allow you to export it or resume your subscription, then delete it. You can request earlier deletion by contacting us.
7. Your rights
Depending on where you’re located, you may have the right to:
- Access the personal data we hold about you;
- Correct inaccurate data;
- Request deletion of your data, subject to Section 6;
- Export your data in a portable format;
- Object to or restrict certain processing.
To exercise any of these, contact privacy@rapidinspectionai.com.
8. Cookies
We use only the cookies necessary to keep you signed in and to protect the sign-up form from automated abuse. We don’t use advertising or third-party tracking cookies.
9. Security
We use industry-standard measures to protect your data, including encrypted connections, access controls that isolate each organization’s data from every other, and an audit trail of account changes. No system is perfectly secure, and we can’t guarantee absolute security. To the maximum extent permitted by law, we are not liable for unauthorized access to, or use or disclosure of, your data that results from circumstances beyond our reasonable control, including a breach or failure of a third-party processor listed in Section 4.
10. Changes to this policy
We may update this policy from time to time. If a change is material, we’ll notify you by email or an in-app notice before it takes effect.
