Terms of Service

Last updated October 12, 2026

1. Agreement to these Terms

These Terms of Service (“Terms”) govern access to and use of RapidInspectionAI Keystone Lite (“Keystone Lite” or “the Service”), provided by DecisionFlowAI B.V. (“we”, “us”). By creating an account, subscribing, or otherwise using the Service, you agree to these Terms on behalf of yourself and the organization you represent.

Registered with the Dutch Chamber of Commerce (KvK) under number 89703693. VAT number: NL865069761B01.

2. The Service

Keystone Lite is the self-serve edition of RapidInspectionAI Keystone, with the features and plan allowances shown on our Pricing page. Our Enterprise edition offers a broader feature set and is provided under a separate agreement; these Terms do not cover it.

RapidInspectionAI helps you organize inspection photos into projects, uses AI to detect and describe likely defects in those photos, and generates inspection reports from the results you review and confirm.

The Service is a decision-support tool, not a substitute for professional judgment. AI-generated defect detections, descriptions, and severity ratings are assistive suggestions only. You are responsible for reviewing every finding before relying on it, and for any decision made using a report the Service produces — including decisions about structural safety, repairs, or regulatory compliance. Where a qualified professional’s sign-off is required by law or by your own organization’s standards, the Service does not replace it.

3. Accounts & organizations

You need an account to use the Service. Each account belongs to one organization, and every member of that organization can access everything the organization has created — projects, photos, defects, and reports. You’re responsible for who you invite and for keeping your login credentials secure.

4. Access, subscriptions, billing, cancellation & refunds

Access is by request. We review every request and set up accounts by hand. Sending a request does not create a contract. Your account exists once we have set it up and sent you an invoice, and it is activated after we have confirmed that the first invoice has been paid. We may decline a request without giving a reason.

Invoices. Paid plans are billed monthly in advance by invoice. Each invoice is emailed to the address on your account and can be paid through a payment link provided by our payment processor, Stripe. Please pay by the due date shown on the invoice. Extra storage (see Storage below) is billed afterwards, on the following month’s invoice. We do not offer a free trial.

Each plan includes a fixed monthly allowance of projects, photos, and report generations, shown on our Pricing page and in your account’s Usage page. Once an allowance is reached for the current billing period, the corresponding action is blocked until the period resets. Apart from extra storage (see below), we do not bill for overage. If you need more projects, photos, reports or users, ask us: we invoice additional capacity in advance and update your account once it is paid. Prices and plan allowances may change, and we will give you notice before a change affects your next billing period.

Storage. Each plan includes an amount of storage, shown on our Pricing page (currently 10 GB). Storage means the photos and report PDFs of your organization’s projects that have not been deleted. It does not include our own backups, the invoices we send you, or anything that belongs to another organization.

If you store more than the included amount, we charge for the extra storage as follows:

  1. We measure your storage once a day.
  2. At the end of each billing month, we take the average of that month’s daily measurements.
  3. Your extra storage is that average minus the included amount, rounded up to the next 0.01 GB. For this, 1 GB is 1,000,000,000 bytes.
  4. Each extra GB costs the price per GB shown on our Pricing page, currently EUR 2.00 per GB per month, excluding VAT. The total is rounded to the nearest cent.
  5. The charge appears as a separate line on your next monthly invoice, showing the period, your average storage and the extra GB charged.

Example: your plan includes 10 GB, and the average of your daily measurements for the month is 13.42 GB. Your extra storage is 3.42 GB, and the charge is 3.42 × EUR 2.00 = EUR 6.84, excluding VAT. If your average is 10 GB or less, there is no charge.

Your account’s Usage page shows your current storage and, once you are above the included amount, an estimate for the current month. We email your account owner when storage reaches 80% and 100% of the included amount. The account owner can delete projects to free storage. Storage drops from the next daily measurement, and the month’s charge goes down in proportion to the remaining days. If your subscription ends, we do not charge extra storage for the final month.

VAT and other taxes. Prices are shown without VAT. Where VAT or a similar tax applies, we add it on your invoice, worked out from your billing address and, for businesses, the VAT or tax number you gave us. Businesses in the EU with a valid VAT number outside the Netherlands are invoiced without VAT under the reverse-charge mechanism. Where we do not charge VAT, you are responsible for any local taxes that apply to your purchase.

Cancelling. There is no cancel button in the app. To cancel, send the cancellation request form on your account’s Billing page, or email support@rapidinspectionai.com. Please send it before the end of the current billing period, so that no invoice is issued for the next one. Cancellation takes effect at the end of the period you have already paid for. You keep full access until then, and we send no further invoices.

Refunds. Because access continues until the end of a paid period, we do not offer refunds or credits for the unused portion of a billing period when you cancel. If you were invoiced or charged in error, such as a duplicate invoice or an invoice for a period after you had already cancelled, contact us and we will correct or refund it. We also review refund requests for genuine exceptional circumstances on a case-by-case basis. If a charge looks wrong, please contact us first at support@rapidinspectionai.com. Most billing questions are quicker to resolve directly than through a bank dispute, although you are always free to dispute a charge with your card issuer.

Unpaid invoices. If an invoice is not paid by its due date, we pause new projects, photo uploads and report generation until it is paid. Your existing data is not deleted while this is pending. If the invoice is still unpaid 7 days after its due date, we will block access to the Service entirely, including viewing your existing data, until it is paid and we reactivate your account.

5. Acceptable use

You agree not to:

  • Upload content you don’t have the right to upload, or that is illegal, infringing, or contains data about people beyond what’s reasonably necessary for an inspection photo;
  • Attempt to circumvent plan usage limits, rate limits, or access controls;
  • Use the Service to build a competing product, or scrape, resell, or redistribute it without our written permission;
  • Interfere with the security or normal operation of the Service, including automated abuse of the sign-up or payment flow.

We may suspend or terminate accounts that violate this section.

6. Your data

You own the photos, project details, and other content you upload (“Customer Data”). We process it to provide the Service to you — storing it, running AI analysis on it, and including it in the reports you generate — as described in our Privacy Policy.

You also grant us a worldwide, royalty-free right to use Customer Data to operate, maintain, secure, and improve the Service, including to develop, train, and improve our AI models and other features — both for your organization and across the Service generally. We don’t sell Customer Data to third parties.

7. Service availability

We aim for the Service to be reliably available but don’t guarantee uninterrupted access. We may perform maintenance, and third-party services we depend on (payment processing, AI processing, cloud storage) can affect availability outside our control.

8. Termination & suspension

You can ask to cancel at any time, as described in section 4. We may suspend or terminate an account for violating these Terms, for fraud or payment disputes, or for non-payment of an invoice. On termination, we’ll retain your Customer Data for a reasonable period to allow export, then delete it in line with our Privacy Policy.

9. Disclaimer of warranties

The Service is provided “as is,” without warranties of any kind, express or implied, including fitness for a particular purpose. AI-generated detections may be incomplete or inaccurate; see Section 2.

10. Limitation of liability

To the maximum extent permitted by law, DecisionFlowAI B.V. and its officers, employees, and agents will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, goodwill, or business opportunity, even if advised of the possibility of such damages. This includes damages arising from a decision made, or action taken, in reliance on an AI-generated detection, description, severity rating, or report. Our total liability arising out of or relating to the Service will not exceed the fees you paid us in the three months before the claim arose. Nothing in these Terms limits liability that cannot be limited under applicable law.

11. Indemnification

You agree to defend, indemnify, and hold DecisionFlowAI B.V. and its officers, employees, and agents harmless from any claim, demand, loss, or expense (including reasonable legal fees) arising out of or related to: your use of the Service; the content you upload, including any claim that it infringes someone else’s rights or violates a law; your violation of these Terms; or a decision made, or action taken, by you or your organization in reliance on the Service, including any AI-generated detection, description, severity rating, or report.

12. Force majeure

We are not liable for any failure or delay in performing the Service caused by events beyond our reasonable control, including an outage or failure of a third-party provider we depend on (such as our AI, payment, storage, authentication, or email providers), internet or infrastructure failures, natural disasters, war, terrorism, labor disputes, or government action.

13. Changes to these Terms

We may update these Terms from time to time. If a change is material, we’ll notify you by email or an in-app notice before it takes effect. Continued use of the Service after a change takes effect means you accept the updated Terms.

14. Governing law & jurisdiction

These Terms are governed by the laws of the Netherlands, without regard to conflict-of-law principles. Any dispute arising out of or relating to these Terms or the Service will be submitted to the exclusive jurisdiction of the competent courts of the Netherlands, and you consent to that jurisdiction and venue regardless of where you or your organization are located.

15. General provisions

Worldwide use. The Service is offered to customers worldwide. You are responsible for determining whether your use of the Service is lawful in your jurisdiction and for complying with any local laws that apply to you or the content you upload. We make no representation that the Service is appropriate or available for use in every location.

Severability. If any part of these Terms is found unenforceable, the rest remains in full effect, and the unenforceable part will be interpreted to best reflect its original intent.

No waiver. If we don’t enforce a right under these Terms, that doesn’t mean we waive it.

Assignment. We may assign these Terms, in whole or in part, including in connection with a merger, acquisition, or sale of assets. You may not assign these Terms without our written consent.

Entire agreement. These Terms, together with our Privacy Policy, are the entire agreement between you and us about the Service, and replace any earlier agreement on the same subject.
